Responsibilities
- Manage employee insurance requirements to ensure compliance and timely renewals
- Procure and oversee office supplies, maintaining optimal inventory levels and vendor relationships
- Monitor staff time and attendance reports
- Greet and assist visitors, ensuring a professional and welcoming office environment
- Handle end-to-end travel arrangements and visa processing for employees (application, cancellation and extension)
- Provide comprehensive administrative support to employees and senior management
- Establish and maintain vendor/supplier relationships; obtain and evaluate offers and quotations; manage business relationship clearances and whitelisting
- Arrange and document meetings, including scheduling and preparing minutes of meetings
- Maintain accurate, organised filing systems with checklists
- Coordinate vendor communications, logistics arrangements and hotel/restaurant reservations
Requirements
- Degree in secretarial skills or related field and/or a university degree
- Excellent verbal and written communication skills
- Excellent telephone etiquette and strong interpersonal skills
- Positive attitude when dealing with staff, clients and suppliers at all levels
- Proficient in standard office software: word-processing, databases and spreadsheets; email and internet applications
- Well-developed organisation and time management; able to work on own initiative, accurately and to tight deadlines
- Able to work independently: filing systems, databases and diary management
- Trustworthy with confidential administration support
- Advanced computer literacy (Word, Excel, PowerPoint)
- Fluency in English (reading, speaking and writing); bilingual Arabic/English preferred
